Purposes and Legal Bases of Data Processing

The processing of your personal data is based on Art. 6(1)(f) GDPR (legitimate interests), if applicable on the basis of your consent (Art. 6(1)(a) GDPR), or in the context of a contractual relationship.

Use of Chatbot (StudiAssist Widget) and Artificial Intelligence

Our website offers a chatbot ('StudiAssist') that provides you with automated responses regarding our services and offerings. When using the chatbot, the content you enter is processed in order to best answer your inquiries.

Processing and Technologies:

• Your input is processed server-side exclusively on servers located within the European Union (EU).
• To generate chatbot responses, the Azure OpenAI Service of Microsoft Ireland Operations Ltd. is used. Processing by Azure OpenAI also takes place exclusively in European data centers.
• Further information on data processing by Microsoft can be found in the Privacy Policy of Microsoft Azure OpenAI Service.

Data Protection & Storage:

• Your chat inputs are processed only temporarily and solely for the immediate response to your inquiry. There is no permanent storage of chat content, profiling, or automated decision-making with legal effect.
• If you voluntarily provide personal data (e.g., name, email) while using the chatbot, this data will be used exclusively to answer your inquiry and will not be permanently stored.

Legal Basis:

• Processing is carried out pursuant to Art. 6(1)(b) GDPR (contract or pre-contractual inquiry).
• Alternatively, if you explicitly consent, processing is based on your consent pursuant to Art. 6(1)(a) GDPR.

We recommend that you do not enter sensitive personal data into the chatbot.

Appointment Scheduling with Calendly

To provide you with a convenient way to schedule appointments, we use the service provider Calendly LLC, 271 17th St NW, Atlanta, GA 30363, USA. When you schedule an appointment using the booking tool, the data you provide (such as name, email address, and preferred time) as well as technical information (e.g., IP address, browser type, domain, date, and time of access) is transmitted to Calendly, processed, stored, and forwarded to us. For more information about data processing by Calendly, please refer to the Calendly Privacy Policy. Please note that your data may be transferred to the USA, where data protection standards may differ from those in the EU.

The use of Calendly is based on Art. 6(1)(b) GDPR (appointment arrangement) or Art. 6(1)(f) GDPR (legitimate interest in efficient and user-friendly appointment management). Alternatively, you can always contact us directly by email.

Recipients of Personal Data

Except for the use of our scheduling form (Calendly), there is no transfer of data to third countries. When using the contact form, data may be transferred to Formspree in the USA.

Duration of Storage

Your data will only be stored for as long as necessary for the respective purpose or as long as legal retention periods exist.

Your Rights

• Right of access (Art. 15 GDPR): You can request information about which personal data we process about you.
• Right to rectification (Art. 16 GDPR): If your data is incorrect or incomplete, you can request correction.
• Right to erasure (Art. 17 GDPR): You can request deletion of your data, provided the legal requirements are met.
• Right to restriction of processing (Art. 18 GDPR): You have the right to request the restriction of processing of your data.
• Right to data portability (Art. 20 GDPR): You have the right to receive the data you have provided in a structured, commonly used, and machine-readable format or to have it transmitted to another controller.
• Right to object (Art. 21 GDPR): You can object to the processing of your data for reasons arising from your particular situation.
• Withdrawal of consent: If the processing is based on your consent, you can withdraw this consent at any time for the future. The lawfulness of the processing carried out until the withdrawal remains unaffected.

You have the right to lodge a complaint with a data protection supervisory authority if you believe that your data is being processed unlawfully. The competent authority for private companies in Bavaria is the Bavarian Data Protection Authority (BayLDA):

When you visit our website, technical access data (IP address, time, browser information) is logged. This is for security and error analysis purposes.
